This section applies to any individual, group, or corporate entity making an inquiry, receiving a quotation, or booking a vehicle with Haines Minicoaches Ltd.

1. Quotations and Inquiries

• All quotes requested via our website form or over the phone are valid for 14 days from the date of issue, subject to vehicle availability at the time of formal booking.

• A quotation does not constitute a booking until a confirmation call has been made by us and payment terms are agreed.

• Haines Minicoaches Ltd reserves the right to amend these Terms & Conditions at any time. The terms that apply to your hire will be the version active on our website at the exact time your booking is formally confirmed and your deposit/payment is made.

2. Booking Confirmation & Payment

• Following your website inquiry, a representative from Haines Minicoaches Ltd will call you to confirm your itinerary, vehicle availability, and total cost.

• Payment Method: Payment must be made securely via Bank Transfer (BACS) using the invoice details provided during or after our confirmation call.

• A booking is only secured once the agreed deposit or full payment has cleared into our bank account.

3. Cancellations & Refunds

If you need to cancel your booking, the following cancellation charges will apply:

• More than 14 days before journey: Full refund of any monies paid.

• 7 to 14 days before journey: 50% of the total hire charge is non-refundable.

• Less than 7 days before journey: 100% of the total hire charge is non-refundable.

4. Passenger Behaviour, Damage & Soiling

• The hirer is legally responsible for the behavior of all passengers.

• Eating and drinking (other than water) inside the vehicles is prohibited unless expressly agreed upon prior to the journey. Strictly no smoking or vaping is permitted on board.

• Damage & Deep Cleaning: We reserve the right to charge the hirer a minimum £150 deep cleaning fee for any vehicle soiling caused by passengers, as well as the full cost of repairing any physical damage to our fleet.

5. Delays, Route Alterations & Overtime

• Haines Minicoaches Ltd will make every effort to complete journeys punctually. However, we cannot be held liable for delays caused by circumstances beyond our control (e.g., exceptional traffic congestion, road closures, accidents, or severe weather).

• If a journey runs significantly over the agreed schedule due to passenger delays (e.g., late flight arrivals or running late at an event), we reserve the right to invoice the hirer for additional driver waiting time at our standard hourly rate.

6. Vehicle Substitution

• In the unlikely event of a mechanical breakdown or emergency, Haines Minicoaches Ltd reserves the right to provide a substitute vehicle of equal capacity, which may be sourced from a trusted partner operator, to ensure your journey is completed safely.
